Client's brief:
- Create an internal e-shop and digitize processes that speed up company purchases and enable simple and efficient control over documents by responsible managers.
Proposed solution:
Creation of an internal e-shop within ReFIS, where instead of paying, employees create purchase requisitions that are approved by managers. How the proposed solution works:
- The respective employee within ReFIS creates a requisition for goods or services needed for the company by adding items to the shopping cart
- The responsible person approves the requisition according to their authorization, and subsequently the procurement department creates orders from the approved requisitions and sends them to suppliers.
- Receipt of goods from the supplier is confirmed by the responsible person by confirming the invoice; no further approval is needed if its amount does not exceed the approved amount on the requisition.
Client Hedin Automotive also uses document digitization within ReFIS - therefore the supplier invoice is also automatically read via OCR (automatic text recognition) and archived.
Implementation:
Employee adaptation to ReFIS was smooth, divided into phases.
Results:
The internal e-shop at Hedin Automotive Bratislava brought procurement department employees more comfortable work and saved them time. Today they create and approve orders much more easily and the entire process works faster and digitally. At the same time, thanks to ReFIS, Hedin Automotive gained a better overview of documents (requisitions, orders, invoices) and the archive with digitized documents also brought them a simplified overview of their status, faster retrieval and identification of responsibility for their approval.
