Client's brief:

Ensure electronic document circulation within the company, based on OCR service, i.e. automatic text recognition that extracts data from invoices. Through archiving of incoming documents, gain greater transparency and control over documents flowing into the company.

Proposed solution:

Electronic document processing and approval within ReFIS. ReFIS collects and efficiently sorts all documents, creating a clear archive based on selected identifiers. It all starts with the OCR service, which automatically transcribes the documents.

Implementation:

The implementation was a challenge that we successfully managed together despite a more demanding ramp-up, as it was necessary to align the client's ERP system with ReFIS. As a "lesson learned" that significantly facilitates the implementation process, we can highlight the in-depth analysis, which should involve key employees from all departments that will use the software.

Results:

Results came immediately in faster processing and circulation of documents within the company, starting with automatic document reading via OCR. These are under control thanks to clear categorization in the ReFIS mailroom module, which serves as a single point for receiving all documents in the company. AUTOPOLIS also uses additional features that ReFIS offers.
